Using iFolder for Backing Up County Data
The basic proposition is that we use iFolder as a means of backing up county data.
Procedure
- Create P2P network in county
- From one computer, share a folder with all users (an "S" drive)
- Install iFolder; designate this shared folder as the iFolder
- Everyone saves critical information to this shared drive
- Create eitshared user account for S drive sharing
- Create Password and Encrypted Phrase for Security
- Force Password changes on local user accounts using Windows Policies
Advantages
- Seamless
- Free
- Easy to Use
- Accessed from Anywhere
- Off site backup
- Reduce the risk to County workstation from hackers
- Disable Guest Windows account
Disadvantages
- Need broadband access
- Need local area network
- Drives Mirror- So when someone deletes a file from one it deletes from all
- Large Amount of time may be needed for intial upload.
- 4H Plus data will not save to this drive
Methodology
The philosophy is to have one shared account defined on network resource, but that account is hidden for users. It operates independently of user accounts and password restrictions. It is a one account model, but limited.
Account Management
- Request iFolder Account
- Create EITShare (User Level) account on “server/workstation”
- Assign standard EIT password nomenclature to EITShare account
- Disable Administrator and Guest accounts, leaving active only:
- Workstation user’s accounts
- EITShare
- EITAdmin
- EITShare and EITAdmin accounts should be set to “user cannot change password”
- For all except EITAdmin and EITShare, uncheck “Passwords never expires”
- Disable Simple File Share
Share Setup
- Disconnect and remove all shares
- Setup share folder with only EITShare permission for access and give full control
- Remove the Everyone Group from the Permission list
- Install iFolder client on “server/workstation”, directing the client to use the Share Folder as the iFolder
- Save password and encryption phrase
- Set iFolder synchronization to:
- Synchronize with Server = 5 seconds
- Synchronize from Server = 10 seconds
- Explorer Network and login to Share Resources with EITShare account from workstations
- Map Shared drive on workstations as S:Drive
- Because we disabled the Guest account, any workstation sharing a printer resource must also have the EITShare defined
- Give EITShare account access to all printers.
Set Password Policy
- Enforce password history = 3
- Maximum age of password = 180 days
- Password must be at least = 8 characters
- Password must meet complexity requirements- meaning at least one upper and lower case letters plus a number
- On screen saver, set password for one hour and check “On resume password protect”
- Note - Some users will be prompted to change password upon reboot depending on when their current password was last set.
Troubleshooting
- With Corel versions ranging from Corel 10 to Corel X3, I have noticed issues with file permissions with the EITShare user even though on the Sharing Tab permissions are set to full control. Solution is to click on the Security tab and give the Users group all permissions for this shared folder.
- Windows 2000 and Windows 98 machines appear not to have an option to save the EITshare info. Current solution appears to be to define the Windows 2000 or Windows 98 user account on the “Server” as a user level account, and give that user permissions to the shared folder.
